QuickBooks provides a built-in PDF printer to save your statements, reports and forms as a PDF file. You can also use a third-party PDF printer such as Adobe PDF to create PDF files. Third-party PDF printers allow you to select the printer in the Print settings dialog like any other printer. PDF files have the advantage of having small sizes that can be viewed on any computer or device that supports the PDF format. PDF files are also useful for archiving reports, previewing customer documents before sending them and sharing in business meetings.
Forms or Reports
1.Select the report or form you want to print in QuickBooks.
2.Click the 'File' menu and 'Print' to use a third-party PDF printer. Then, select your PDF printer from the options. Alternatively, select 'File' and 'Save as PDF' to use the built-in QuickBooks PDF printer.
3.Click 'Print' or 'Save.' Then, select a location on your hard drive to save the PDF file.

Click the 'Customers' menu and 'Create Statements.'
4.Click 'Send Now' or 'Send Later' to send a PDF statement to your customer through email.
